Set up private email (Forwarding) :
You can set up incoming mail (Forwarding) from Technion email to private email:
Following the cyberattack, Global Forward was blocked from Technion email inboxes. After staff work by the CIS Division with the assistance of external teams, including conversations with companies and faculty members, it was decided as of this coming Sunday, July 23, 2023, to allow, in a limited and controlled manner, as explained below, the use of auto-forwarding from the Technion account to accounts managed outside the Technion, as well as the use of send-as from the external account.
The opening is for personal inboxes only (not job email boxes) and not for officials who deal with classified material for the Technion (detailed statement on this matter at the link appearing below). Also the opening is conditional on the fact that the external account can be protected with 2-step verification (in particular, Gmail and Yahoo have such an option).
Through the cloud services portal in the web browser :
(1) You must go to the form provided in the a and fill out following link declaration (the link works only from within the Technion, or by connecting via VPN). Please note that this is a substantive statement, which requires you, among other things, to enable 2-step verification on your external account, and to understand the problems and risks involved in activating this option. Details on how to activate can be found in the statement itself.
Click Settings (gear icon) and select Mail :
(2) The IT Division proactively deleted auto-forward addresses from all accounts as part of security measures. You therefore need to refill the address. To do this, please enter office.com, select Outlook, enter setting and then forwarding, and fill in the details. [It’s best to take this step only on Sunday, because otherwise you’ll get emails with error messages that can’t be forwarded.]
Now, under the “Accounts” menu, select “Transfer“:
(3) The CIS Division did not proactively delete rules through Outlook that forward to external email, so you are asked to check that there are no rules of this kind that you are not familiar with. Thunderbird users are asked to do the same with the filters.
Select Apply forwarding and enter the email address you want to forward mail to in the appropriate field:
(4) Mark whether you want to save a copy of the received mail on the Technion server as well (failure to check this option will forward the incoming mail to the private email and delete it from the Technion cloud server).
(5) Finally, save your changes.
*
If you don’t intend to enable auto-forwarding but have rules active then turn them off. Otherwise, you’ll start receiving error messages that Outlook couldn’t forward.
If you have a problem with the operation, please contact the Faculty/Unit Computing Engineer.
Using the Outlook app:
You can’t set up bulk forwarding of all incoming emails in the app.
Transfer should be defined by creating individual rules according to user preferences.
